Special Group Travel

 

IMPORTANT. Please read the following Terms & Conditions carefully before contacting Parker Travel with regard to a Special Group program. They govern the relationship between You ("Your" or "User" or "Group Organizer") and Parker Travel Associates, Inc. ("We," "Our," "Us," "Parker Travel" or "Parker").  Once the tour program is designed, Parker Travel will provide you with the Terms & Conditions which govern the agreement between each Participant and Parker Travel. Each Participant will be required to sign an acceptance of the Terms & Conditions at the time of initial payment to Parker.

SERVICES PARKER WILL PROVIDE. Parker Travel will work with you to design the most appropriate group tour services for your special group. These may include international air transportation, internal transportation within the destination country by means of land, sea or air, hotel accommodations, meals, sightseeing or other tour activities including English-speaking local guides, a Tour Director, and other services.

GROUP BOOKING. Contact Parker Travel, preferably by means of the Special Group Inquiry Form on this website, or by phone or email, and indicate the nature of the group, the number of participants, origin city or cities, destination(s), dates of travel, services desired, and an approximate budget per participant.

PAYMENTS. The timing of payments will vary based upon the services to be provided. Parker will provide you with specifics as to when payments will be due prior to confirmation of the services. Typically, a small deposit may be required upon confirmation, with the balance due in one or more payments prior to departure.

CANCELLATION CHARGES. As with Payments, the Cancellation Fees which may be incurred in the event of group cancellation will vary based upon the services to be provided. Parker Travel will provide you with an applicable schedule of Cancellation Penalties prior to confirming the group services.

Parker Travel is not responsible for other expenses that may be incurred as a result of cancellation, such as visa fees, vaccination costs, purchase of equipment or clothing in anticipation of the tour, airline cancellation fees, or other expenses.

TOUR PRICE AND GUARANTEE. The quoted tour price will be based on costs and exchange rates in effect as of the time the proposed itinerary is presented, and is subject to change at any time should changes in costs and/or exchange rate fluctuations result in increased costs of the services. Once your group services have been confirmed, and the initial deposit has been paid to Parker, your tour price will be guaranteed. Prices quoted include fees for planning and handling, as well as operational charges. Parker Travel shall not be required to provide any itemization of costs involved.

TOUR PRICE DOES NOT INCLUDE: Unless otherwise clearly indicated in the group proposal, the tour price quoted will not include: airport departure taxes (unless the tax is included in the cost of the airline ticket), passport and visa fees, beverages with meals, items of a personal nature (such as laundry, souvenirs, communications, etc.), costs of tour services or admission fees to attractions not included in the regular tour features, excess baggage charges, trip insurance, gratuities to local tour guides and the Tour Director (if applicable).

AIR TRANSPORTATION. In conjunction with Special Group programs, Parker Travel may make use of negotiated group airfares. Note that many published airfares are unavailable for group travel. Additionally, certain fares are subject to a service fee. Fares quoted are usually subject to change until ticketed. The air carriers involved set the penalties and restrictions as to cancellation and/or changes.

BAGGAGE ALLOWANCE. Each airline involved in providing air transportation has its own policy. In general, many carriers allow each passenger (whether considered as an "adult" or "child") to check a maximum of two bags, the first of which may not exceed 62" total dimensions (length + width + height) and the second of which may not exceed 55" total dimensions. The maximum weight of each piece is 50 lbs. Any excess in the number of pieces, size allowances, or maximum weight, may be subject to an "excess baggage charge." Most airlines limit carry-on bags to one item (which will fit into the overhead bins or under the seat in front of you) plus one "personal item," which may be a purse or laptop computer, for example.

TOUR ITINERARY. Hotel accommodations and included tour activities are subject to change at any time due to unforeseen circumstances. While Parker Travel will endeavor to operate the tour as planned, changes may occur, even after the final itinerary is provided. Parker Travel reserves the right to make changes it feels is necessary and appropriate.

TRAVEL INSURANCE. Parker Travel highly recommends that Participants in your Special Group purchase a travel insurance program which covers baggage, trip interruption and cancellation. Parker Travel is not liable for any accident, injury, or illness, and is not liable for theft, damage, or loss of personal effects or baggage. Upon confirmation of group services, Parker will provide you with information for Participants about recommended travel insurance programs.

HEALTH & IMMUNIZATIONS. Required immunizations vary by country. Your Participants should check the web site of the Centers for Disease Control and Prevention (CDC) at wwwn.cdc.gov/travel. They may also wish to check with their physician to ensure that they are in adequate physical condition to participate in the Special Group program.

TRAVEL DOCUMENTS. A current passport, valid for at least six months after the planned return travel to the U.S., is required for participation in all Special Group programs. Participants are responsible for verifying the entry requirements necessary for each country they transit or visit, and for obtaining the required documents. Parker Travel cannot obtain personal travel documents for Participants or assume responsibility for notice of countries' current requirements. Participants are responsible for any expense incurred as a result of delays or itinerary changes related to their lack of required personal travel documents.

UNUSED SERVICES. After commencement of the tour program, no refund shall be provided for unused or missed services.

LIMITS ON PARKER TRAVEL'S RESPONSIBILITY. Parker Travel Associates, Inc., its officers, directors, employees, successors, assigns, agents and/or affiliates (collectively, "Parker") does not own or operate any entity which is to or does provide services for its Special Group programs. All such services, including hotels and other lodging, restaurants, transportation (whether by air, land, sea, or combination), sightseeing, ground handling and other services, are provided by independent contractors ("suppliers") that are not subject to the control of Parker. Parker cannot be held liable for any personal injury, property damage, or any other consequential loss or damage, which occurs as a result of actions by its suppliers or by any third party. Additionally, and without limitation, Parker cannot be held liable for any injury, death, illness, inconvenience, or delay or damage to any personal property, which may be result from acts of God, force majeure, war, civil unrest, criminal or terrorist activity, disease, animals, strikes or other labor activities, or food poisoning. Furthermore, Parker is not responsible for any delay or interruption of services as a result of any weather conditions, mechanical or other technical problems with aircraft, passenger vehicles, vessels, or other conveyance. In no event will Parker be liable for any consequential, incidental or special damages for loss suffered by any person. Parker's maximum liability, for whatever cause, shall be limited to the amount paid to Parker for its services. As certain activities involved in tour features may be inherently dangerous, including, but not limited to, rafting, hiking, horseback riding, scuba diving, skiing, or safaris, by participating in any such dangerous activity the Participant assumes all such risks with regard to these activities. It is the responsibility of the Participant to determine whether travel to any included destination is appropriate. The Participant agrees to become informed as to the latest U.S. State Department Travel Advisories and Warnings by going to the State Department's travel website at: http://travel.state.gov.  Should the Participant decide to travel, notwithstanding a State Department Warning or Advisory, the Participant assumes all risk of death, personal injury, or property damage as a result of those risks advised or warned against.

AIRLINE RESPONSIBILITY CLAUSE: The airlines involved are not to be held responsible for any act or occurrence which might occur during which time the Participant is not on board their aircraft. The passenger tickets, when issued, whether electronic tickets or paper tickets, shall constitute acceptance by the Participant of the Contract of Carriage as the sole contract between the airline involved and the Participant. The services of any IATA carrier may be used in conjunction with Special Group programs.

DISPUTE RESOLUTION AGREEMENT. Any controversy or claim arising out of or related to these Terms & Conditions, the Limits on Parker Travel's Responsibility clause, any other information relating to the tour program in any way, to the trip itself, or to any services related to the trip, shall be settled solely and exclusively by binding arbitration to be held in Orlando, Florida, in accordance with the Expedited Procedures provisions of the Commercial Arbitration Rules of the American Arbitration Association ("AAA"), except that: (a) there shall be a single arbitrator, appointed by AAA; (b) the use of discovery shall not be permitted; (c) the arbitrator shall solely determine questions of law and admissibility of evidence; and (d) each party shall bear its own costs and expenses, including travel, counsel, and witnesses, and an equal share of the administrative, arbitrator and venue-rental fees.
